STATEMENT OF WORK - END OF YEAR (EOY)


End of Year Service Summary

The purpose of the End of Year (EOY) service is to roll up all of your students to the next grade and appropriate building as well as to archive and clear out all of last school years transactional data to optimize database performance going into the new school year. We will also be updating the Free and Reduced guidelines. We use WebEx® remote connectivity software to perform this work. The district must allow access to ALL computers/servers on which EOY will be performed. This includes, but is not limited to, the Database Server, WebServer, CO Workstation and any site computer(s) needed.

Project Scope

This Statement of Work covers the following activities and deliverables.

  • EOY technician will call district appointed contact to gain remote access to computer/server.
  • A Technician will transfer required tools and utilities via WebEx® 
  • A technician will confirm that graduating buildings and grade ranges are set. If they are not set up we will set the graduating building to an available building with a higher grade range then current building. 
  • A technician will confirm all Replication/pull data completed from sites.
  • A technician will disable WebSMARTT/WinSNAP scheduled tasks.
  • A technician will stop the MySchoolBucks Client service.
  • A technician will run Pre-End of Year script.
  • A technician will complete Built-In End of Year questions working with Food Service personnel to be certain settings meet current requirements and then process.
  • A technician will run Post-End of Year script
  • A technician will enable any WebSMARTT/WinSNAP scheduled tasks.
  • Technician will start the MySchoolBucks Client Service if service is to be on during summer
  • Once work is completed
    -the appointed contact will be notified via email
    -The billing process will be initiated.

Schedule

Task Performed When:
  • The EOY Project is considered open
  • When we receive the Questionnaire form completed
  • The EOY service begins
  • On the date and time chosen from the previous schedule
  • The EOY service is completed
  • HSS Technician notifies customer via email
  • The EOY service is billed
  • Upon completion of work

Key Assumptions

This agreement is based on the following assumptions. 

This Statement of Work was reviewed
The WebSMARTT/WinSNAP Support EOY Questionnaire will be completed and submitted
EOY technician will be granted remote access to the necessary computers / servers
EOY Technician will have adequate permissions to restore the SQL database if necessary 
All serving lines have successfully sent their final End of Day transmission for 2021-22
District has completed a backup prior to beginning of process and saved in alternate location 
All End of Year Reports have been printed for audit and reference purposes
